Vintage Office Specialist Job Description (10-12 Hrs a week)

Position Details:

This is a 10-12 hour a week position (actual hours vary based upon monthly and seasonal rhythms)

Compensation will be $12 -$14 an hour

Schedule Requirements: Must spend at least 5 hours a week in the office (including some time on Monday or Tuesday afternoons) have 1-2 hours available on the weekend to print bulletins, Attend necessary Staff, Leadership and Operations meetings (1-3X per month)

Necessary Assets for Administrator:

Positive attitude and servant heart a MUST!

Responsible, Detail oriented, Good communication skills, Self-initiated worker, Abiltiy to solve problems and make decisions independently, Ability to identify needs and act on them without instruction

Ability to use Church Community Builder, Microsoft Office, Quickbooks Non-profit, and basic
computer skills (We can teach specific programs to people who have basic computer skills)

Ability to fulfill multiple and varied tasks to completion as requested

Flexible and accommodating to accomplish whatever is asked at any given time

Must attend a majority of Vintage events. Usually, the specialist will arrive early and stay late at events to facilitate set up and cleanup (You have the option to develop a team who does this on your behalf)

Must check office email/phone a minimum of 4X a week, and have time to respond to constantly changing needs


Job Description:

1) Accounts Payable & Book-keeping Assistance— (3-4 hrs. a week estimate)

Enter tithes and offerings into CCB software on a weekly basis, bring deposit to the bank

Record online giving (BluePay statements) to support Vintage’s accountant

Payroll & Accounts Payable—Enter and print payroll/ accounts payable/ reimbursements/ check requests for Vintage Church to be signed by an Operations Team member

Mailings & Giving Statements—Quarterly assemble, assimilate, and send out Giving/Pledge statements through CCB and issue print copies to those who request in January each year.

Attend Operations meetings and work with Ops team/Book-keeper with duties as requested

2) Vintage Communication— (3-4 hours a week estimate)

Website Communication—Weekly check, maintain, and update information on the Vintage website so that information is accurate and up-to-date

Assemble/Reword/Proof announcements for bulletin and weekly updates

Weekly update to church congregation sent out by Wednesday each week

Print & cut bulletins to have available on Sunday nights

Periodic communication, updating CCB events, people, etc. as requested from Pastor(s) or Ops Team

Check and respond to connect email, phone, and other modes of Vintage communication

3) Pastoral Support— (3-4 hrs a week estimate)

Be available to meet for periodic staff meetings and/or meetings with Seth

Event Planning and Food coordination at Pastoral Staff request

Additional Projects and support at Pastoral Staff request (run errands, emailing phone messages

4) Children’s Ministry Administrative Support— (1-2 hrs. a week estimate)

Weekly/monthly Copies—Print copies of take-home sheets for elementary room, Sunday night sign-in sheets for various ages, monthly “posters” for preschool, and other copies by request of children’s team leaders.

Update contact list (parents, leaders, kids, and volunteers) in CCB and paper copies (?)

Periodic admin support for safety training, leader meetings, etc. as needed and requested from Children’s ministry leaders.

5) Office/Church Maintenance (varies)

Order/Purchase office supplies (printer ink, stamps, bulletin paper, bookmark reading plan etc.) Stay on top of needs, order in advance

Maintain organization of file cabinet and closet shared with Young Life.

Stepping in to help various teams with organization or purchasing supplies as needed
